New System- Ocean Friends

We are upgrading our systems that we use for scheduling and billing; our new system is called Ocean Friends (www.oceanfriends.ai). We are in process of transitioning over (this is a LOT of work!). We are on track to be fully transitioned by Nov 1, 2024. Ocean Friends has an app for parents that you can download (in addition to using their site). Through these systems you can do many things, including: pay a bill, view your upcoming appointments, message our staff or your therapist directly, check in your child for their appointment, schedule appointments, cancel or reschedule your appointment, and more! We are hoping to streamline our scheduling process to accommodate your scheduling needs more easily! 

 

Changes to Our Policies

We are updating our attendance/cancellation policies. All current patients will recieve an agreement through Ocean Friends that they can review and sign digitally. The main change is that we will now be implemeneting a cancellation and no-show fee. One cancellation per month will be allowed without the cancellation fee; then any appointments that are cancelled less than 24 hrs will result in a $30 fee added to your statement. No show/no calls (not showing up for an appointment without contacting our office in advance) will result in a $50 fee. We of course will consider any exclusions as we know sometimes emergencies happen! Short notice cancellations are problematic for our time- our therapists plan for your child, and without prior notice, we also can't accomodate another patient who may be waiting on a waitlist. We hope this change will keep our attendance consistent and ensure the families who are in need of therapy are getting the services they need. 

 

Increasing Private Pay Rates

Our office offers private pay rates to families who do not have insurance, or get denied by services by their insurance. If you are a private pay client, you will receive a separate agreement form that outlines all of our private pay fees. The only change we are making here is we are increasing our 45 min and 60 min fees for direct treatment (OT, PT, speech).
